Finding a meeting time that works for everyone usually means a flurry of “Are you free at 3?” messages.
Lark makes it far simpler.
Using the group calendar, you can check the availability of a group chat’s members at a glance — then create an event in a slot that suits everyone, all without leaving the chat.
This guide walks you through how to view a group calendar, choose whose schedules to see, and create an event for the group.
Note: You cannot use a group calendar in topic groups or supergroups.
Why Use the Group Calendar?
The group calendar turns scheduling from guesswork into a quick visual check. For busy teams, it means:
- No more back-and-forth: See everyone’s free and busy times side by side instead of asking one by one.
- Faster scheduling: Spot a common open slot and book it on the spot.
- Fewer clashes: Avoid double-booking by checking availability before you send an invite.
How to View a Group Calendar
- At the top of a group chat, click View calendar to open the group calendar view. You can drag the left side of the window pane to adjust the view size.

How to Select Which Members to View
In the upper-right corner, click Select member to choose the people whose calendars you would like to view.
- If there are more than 10 group members, the member selection pane will automatically expand. You are selected by default.
- The All checkbox cannot be ticked if there are more than 30 group members.
Tip: For large groups, select just the few people who actually need to attend. A focused view makes it much easier to spot a common free slot.
How to Rearrange Members’ Calendars
To make comparing schedules easier, you can move a particular member’s calendar to the front.
Hover over a member’s profile photo until the Place to the left-most prompt appears, then click their profile photo to move that member’s calendar to the furthest left column.
How to Create an Event for Group Members
Once you have reviewed group members’ availability, select a suitable time slot, edit the event information, and save it.
The event will then appear in group members’ calendars, and members can choose whether to accept the invitation.
Tip: Because the event lands directly in members’ calendars, there is no need to send a separate invite or chase confirmations — everyone sees it and can respond in one place.
Practical Use Cases for SMEs and Startups
- Team meetings: Quickly find a slot when the whole project group is free, then book it instantly.
- Client calls: Coordinate internal availability before proposing times to a client.
- Cross-department syncs: Compare schedules across members from different teams in one view.
- Quick catch-ups: Spot a short gap in everyone’s day for an impromptu discussion.
