How to Use the Details Table Question in Lark Base Forms

By adding a Details Table question to the form view of a Base, you let respondents submit multiple pieces of information at once in a clean table format. This reduces repetitive data entry and improves efficiency for everyone involved. This guide walks you through how to add, edit, configure, and fill out a Details Table — step by step.

What Is the Details Table Question?

A Details Table is a special form question that displays as a small table, allowing respondents to enter several rows of related data in a single submission — rather than answering the same set of questions over and over.
Here are two common use cases:

  • Inventory management: If a single inbound delivery note contains 30 pieces of product information, you can use the details table to enter all of them at once, quickly associating the delivery note data with product details.
  • Batch data collection: If a manager is responsible for multiple projects, they can enter the data of all projects in one go. The same applies when collecting information on multiple family members — all members can be filled out at once.

Good to know:

  • Version requirement: Lark mobile version 7.34 or above. There are no version requirements for the desktop app or web version.
  • Platform requirement: These steps can only be performed on the desktop app or web version. The mobile app supports form filling and sharing only.
  • Permissions: If Base advanced permissions are off, collaborators with edit permission can add, edit, and delete details tables. If advanced permissions are on, collaborators with manage permission for the table where the form is located can do so.

How to Add a Details Table to a Form

Open a base and create or open a form view. On the left-side pane, under New questions > General questions, select Details Table.

By default, the details table contains two fields: a text field and a number field. These two fields also appear on the rightmost side of the grid view, where you can modify the field type and field name as needed.

Tip: You can add up to 20 details tables in a single form — useful for complex submissions that group several different sets of list data.

How to Edit the Details Table in the Form

Add a Field

Click the + icon on the right side of the details table to add a field. You can also right-click the name of any field and select Insert Left or Insert Right to add a new field. By default, the new field will be a text field, and you can change the field type and title as needed.

The field types you can add are the same as those available in the form view. Note that neither the details table nor the form view support flow, button, numbering, created by, modified by, date created, or last modified date fields.

You can also add a new field by clicking any question type under Questions or New questions: simply select the details table first, then click a question on the left-side pane.

Modify the Type or Name of a Field

Double-click the field name to modify it as needed. You can also right-click any field name in the details table and select Edit Field.

Note: Changes to the field name in the details table will be synced to the field name in grid view.

Copy or Delete a Field

  • Duplicate a field: Right-click the name of a field and select Duplicate Field. A duplicate field will be added to the right.
  • Delete a field: Right-click the name of a field and select Delete Field. If there is only one field remaining in the details table, it cannot be deleted.

Move a Field

Drag the field name to move the field and change the order of the fields.

Note: Changing the field positions in the details table will not change the field positions in the corresponding grid view.

Set Fields as Required

Set whether the whole details table is required: Turn on Required at the top of the details table. If you only turn on this switch without setting each field individually, the details table will be considered filled out as long as one field is filled. This means the setting cannot guarantee that all fields are filled out — only that the table is not empty.

Set whether each field is required: Right-click the name of the field and turn on Required. The names of fields set as required will have a red asterisk to their right.

Tip: For data you absolutely must capture, set the individual field as required rather than relying on the table-level toggle. This guarantees respondents complete the specific columns that matter.

Remove a Details Table or Field From the Form

  • Remove the entire details table: Click Remove from the form at the top of the details table. This is equivalent to removing all fields from the details table. The fields are not deleted — you can still find them under Questions on the left-side pane and in the grid view. Note: if you add these fields back via the + icon or Add all, they will be added as separate questions, not as fields in a details table.
  • Remove a single field: Right-click the field name and select Remove from the form. The field is not deleted and remains under Questions and in grid view. When only one field is left, it cannot be removed. Unlike removing the entire table, fields removed this way will be added back into a details table if you re-add them later.

  • Modify the Question field: After creating a details table, the Question field is called Details Table by default, which can be modified as needed. Changing it here will not affect the field name in grid view.
  • Enter or modify the Description field: You can add an optional description for the question.
  • Set the Row limit: Set an upper limit for the number of rows respondents can add to the details table. The default value is 10, which can be changed to any integer between 1 and 100.
  • Copy the details table: Click the name of the details table and select Duplicate to copy all its settings and content.

Tip: Set a realistic row limit based on your use case. A delivery note with many line items might need the full 100, while a simple contact list may only need 5 — keeping the limit tight helps respondents stay focused.

How to Delete a Details Table From a Form

Click the Delete question icon in the upper-right corner of the details table, or click the name of the details table and select Delete.

Important: Deleting the details table will also delete the corresponding fields in the grid view. If you only want to remove it from the form but keep the data, use Remove from the form instead.

How to Fill Out a Details Table in a Form

Who can fill out the form depends on the sharing scope you set — from only invited people, to people in the organisation with the link, to anyone with the link.

On the Web Version and Desktop App

Go to the Fill tab of the form and click the cells in the details table to fill them out. The number of rows that can be added depends on the Row limit setting.

  • Add a row: Click Add Row below the table, or right-click a row and select Insert [number] Above or Insert [number] Below.
  • Delete a row: Hover over the row and click the Delete this row icon on the right, or right-click a row and select Delete this row.

On the Mobile App

Go to the form filling page, tap a cell, and fill it out on the page that opens. The number of rows again depends on the Row limit setting.

  • Add a row: Tap Add Row. At the bottom of the page, tap Save and Continue to add another row, or Save to return to the form.
  • Delete a row: Tap the row to delete, then tap the Delete icon in the upper-right corner of the details page. Deletions cannot be undone.

How Data Is Stored for Details Tables

Data entered into a details table is split into multiple rows and added to the grid view. Each row of data in a details table is displayed as a separate row in the grid view.

For example, if a respondent fills out two rows in the details table, the grid view displays two rows of records. The other fields (such as Tasks, Priority, Status, and Latest notes) are automatically filled out based on the answers to the other questions in the form.

Note: If a form contains multiple details tables, the final number of records generated depends on the maximum number of rows filled out in any one details table. For example, if three rows were entered in the first details table and five rows in the second, five rows of records will be generated in grid view.
