Data lives happily on a screen until someone needs it on paper.
A warehouse picking list, a procurement contract that needs a company stamp, an inspection record for the file. Printing a Base record raw gives you a grid nobody wants to sign.
The DocuGenius extension lets you design how a record should look on a page, then print it or, paired with a Base automation, generate the PDF for you every time.
Before You Start
DocuGenius is not enabled by default. Your organisation administrator needs to obtain it from the Lark App Directory for your organisation and add you to the app availability list.
Once that is done, you can add it to any base yourself.
Adding the Extension
In your base, click the Expand details icon on any record, select DocuGenius, read and agree to the policies, then click Add Extension.
Building a Print Template
The template is a drag-and-drop layout that maps your fields onto a page. Build it once and every record in the table can use it.
- On the first field of any record, click Details.
- In the record details pane, click DocuGenius.
- Click Create new layout.
Tip: A blank layout is not your only option. You can start from an existing template, generate one automatically from your Base content, or import a layout you already have.
- Click Edit in the upper-right corner.
- Drag components onto the canvas from the Component panel. Text, tables, images, QR codes, bar codes and lines are all available.
Two example layouts
A single-record layout suits anything one page long, such as a task sheet or an inspection record.
A multiple-record layout prints a whole view at once, which works for order manifests and picking lists.
Printing
Click Exit in the upper-left corner, then Print in the upper right. Configure your print settings and send it to the printer.
Automating PDF Generation
Printing on demand is useful. Having the PDF already waiting on the record is better. A Base automation can generate one from your template whenever a record meets a condition, and file it into an attachment field.
Note: Add an attachment field to your table before you start. That is where the finished PDF will be stored.
- Click Automations, then Add Workflow, and set your trigger. When a new record is added is the straightforward choice, though any Base trigger works.
- Under Perform the following actions, choose Generate PDF from the extensions list.
- Select your DocuGenius Template from the dropdown.
- Click Add Action and choose Update record. Point it at your table and, under Select record, choose the record from the trigger step.
- Under Set record content, select your attachment field and map the generated PDF from the previous step into it. Click Save and Enable.
From then on, the PDF appears in the attachment field on every qualifying record.
Open it to read, download or print, and use Bulk Download when you need several at once.
Practical Use Cases for SMEs and Startups
- Warehouse operations: Print picking lists and delivery notes from a multiple-record layout instead of exporting to a spreadsheet first.
- Contracts and quotations: Generate a formatted contract PDF the moment a deal record is created, ready to send or stamp.
- Inspection and QA records: Produce a signed paper record for each check, with a QR code linking back to the base entry.
- Asset labelling: Use bar code or QR code components to print labels straight from your asset register.
- Monthly invoicing: Trigger on a status change so each approved invoice arrives as a PDF on its own record.
Frequently Asked Questions (FAQ)
What is DocuGenius in Lark Base?
It is an extension that lets you design a print layout for your Base records using a drag-and-drop editor, then print the result or generate it as a PDF.
Why can’t I find DocuGenius in my base?
Your organisation administrator has to obtain it from the Lark App Directory and add you to the app availability list first. Until that happens the extension will not appear.
Can I print more than one record at a time?
Yes. Build a multiple-record layout rather than a single-record one, and the whole view prints as a single document.
Where does the automatically generated PDF go?
Into whichever attachment field you map it to in the Update record step. Add that field to your table before building the automation.
What can I put on a DocuGenius layout?
Text, tables, images, QR codes, bar codes and lines, all dragged onto the canvas from the component panel and populated with your Base data.
Why does my workflow show as not executed in the activity log?
That status means the trigger conditions were not fully met, so the later actions never ran. It commonly happens when a trigger combines something like New Record with an extra condition that the new record does not satisfy.
Do I have to build a layout from scratch?
No. You can start from a template, generate a layout automatically from your Base content, or import an existing one.
From Database to Document Without the Copy and Paste
The gap between a well-kept base and the paperwork your operation actually runs on is usually somebody exporting to a spreadsheet and reformatting it.
Design the layout once, attach an automation to it, and the document produces itself. Start with the one form your team prints most often.
